Handling your personal data carefully

  1. This privacy policy is effective from 24th May 2018 in accordance with the General Data Protection Regulation. It is issued by the 9:38 Executive Committee which, for the purposes of the GDPR, acts as the Data Controller.
  2. 9:38 is committed to maintaining a high standard of trust between us and our partners and those who make use of our website. As such, we are committed to protecting your privacy and ensuring that any personal data we collect is stored securely. We will never sell your data to a third party. We will also not give your data to a third party without your consent or unless you can reasonably expect it as part of a transaction between you and 9:38.
  3. The Data Collected by 9:38:
    1. Through Cookies: We collect the following cookies:
      1. PHPSESSID. This preserves any temporarily-saved options (such as site searches) and enables the website to function properly. No personal information is stored in this cookie. It expires when you exit the website.
      2. _ga, _gid, _gat. These cookies are set by our third-party analytics software, Google Analytics. They tell us how many people have visited the website, which pages they use and for how long they remain on a particular page. This information is collected anonymously.
    2. Through Forms: The 9:38 Administrator and Director have access to all forms filled in through the 9:38 website, unless otherwise specified. Data is only shared with other persons or organisations as specified below. Otherwise, your data is not shared with anyone other than as required by law, or in order to protect our users’ rights, property or safety, or that of others. By filling in one of our forms, you consent to your data being used by us in accordance with the form’s purpose, as stated below.
  4. Advertise With Us: All of the information (including email address and telephone number) is made public on our vacancy page in order to advertise your vacancy as requested. The only exception is the name of the person who submits the form. This information is only made public if you have made specific reference to that person in the course of the advert/job specification which you supply.
  5. Booking for Maximise Conference: None of this information is made public.
    1. You pay for your conference place through Stripe (whose Privacy Policy can be viewed here). Stripe informs us when you have paid, but does not share any of your payment details with us.
    2. The data collected by the booking forms for the Maximise Conference may be visible to the designated Conference Lead, as well as to the 9:38 Administrator and Director. A list of delegates, their names, genders and any dietary requirements is sent to High Leigh Conference Centre as part of our booking contract with them.     3. A list of delegates for the Maximise Conference and their churches may be sent to members of that conference’s organising committee and to the small group leaders in order to make effective plans for the day and to coordinate groups. No other details other than name and church are shared.
  6. Contact Us: The contents of this form is seen solely by the 9:38 Administrator and, for queries needing input from the 9:38 Executive Committee, by the Director of 9:38.
  7. E-Newsletter Sign-Up: We send out our e-newsletter through the marketing company Mailchimp (whose Privacy Policy can be viewed here) and therefore, to include you on our mailing list, we need to share your name and email address with them. You can unsubscribe from the newsletter mailing list by clicking the unsubscribe link on any newsletter email, or by emailing the 9:38 Administrator.
  8. Links to Other Websites: The 9:38 website includes multiple links to other websites. We do not have any control over the contents or the security of these websites, and therefore they are not governed by this privacy policy. You should exercise caution and look at the privacy policy for the relevant website or organisation.
  9. Consent and legitimate interest: We may, at certain points, ask for consent to process your personal data, however it should be noted that consent is not legally required and that use of this website and submission of personal data is taken as permission to retain, process and use that data in a way that is not detrimental to you or outside reasonable expectations. On the legal basis of ‘legitimate interest’ we may occasionally use your email address to send you information that we consider is important and likely to be of interest to you. You may opt out of any mailing list at any time.
  10. Security: We are committed to ensuring the security of any information which you entrust to us. We have therefore put in place appropriate physical and electronic safeguards to prevent unauthorised access or distribution.
  11. Your Rights: If you believe that the information we hold about you is incorrect or incomplete, please email the 9:38 Administrator. You are entitled to find out from us what personal information we hold about you and we are happy to supply this information free of charge. If you wish to have this information, again, please send an email to the 9:38 Administrator. We can only supply information about the person who makes the request.

Additional information

  • For users that register on our website, we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.
  • When visitors submit data to the site, the visitor’s IP address and browser user agent string are collected by spam detection software.
  • An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here
